Having a good look at how much time I spend organising, composing and searching through emails and have found a fantastic add-on for Outlook (Nelson Email Organizer Pro) which makes the organizing/searching side of things very quick and easy.

Now just need to sort out the composing email side of things ...

Although personal emails are always best, certain paragraphs are often repeated on a daily basis and it gets a bit tiresome cutting and pasting those paragraphs from previous emails to save having to retype.

There must be loads of programs that will allow me to store "boilerplate" text and then quickly insert them into the email - just can't seem to find any that do exactly what I have in mind ...

Can anyone recommend anything?

Cheers,

Ali.

If you are using Outlook, you really don't have to go to another piece of software to do what you want. Use "signatures" to boilerplate paragraphs!

In our business, I use a combination of 25 or so standard answers, then tweak as necessary. Each of the 25 is placed in it's own signature. Then as I compose a letter, I just choose to insert the signature that fits. Sometimes I use a combination of 3 or four signatures to create a response that answers more than one answer by just choosing Insert Signature and choosing one from the list, then repeating several times. Each signature could be as small as a single character or as long as a full page email. Fast, easy, customizable font, etc.

I have one that says the pdf file(s) attached discuss..... and that to view them you must have Acrobat Reader and include a link to download if necessary.

The last signature is always my name, company, phone, etc.

You can use the internal editor, or external (usually WORD) to create your signature in the format you prefer.

Thanks Samantha - I feel very silly now B)

I've tried so many email clients out in the last couple of months trying to find the "perfect" way of doing things and I could have sworn that I'd tried using signatures in Outlook, but it must have been one of the others! (Opera M2, Thunderbird, Pocomail, Eudora, The Bat etc etc)
